Duties of Elected PSO Board Officers

President:  The President shall:

  • Have responsibility for the general management and conduct the business of the corporation with the President Elect and under the direction of the Board of Directors.
  • Provide documentation and information to the Tigard-Tualatin District Office as prescribed by the District.
  • Be executive officer of the corporation.
  • Preside over all meetings of the board and general membership meetings.
  • Oversee the financial affairs of the corporation.
  • Assure that all the orders and resolutions of the Board of Directors are carried into effect and the corporation program is implemented.
  • Make all special committee appointments.
  • Keep one of the two official copies of the By-Laws.
  • Have any of the powers and duties as may be prescribed by the Board of Directors.

President Elect: The President-Elect shall:

  • Assist the president in the decisions and business of the corporation.
  • Assume the duty of President whenever the President is absent or as the President directs.
  • Chair the Nominating Committee.
  • Oversee the calendar of events together with Alberta Rider Elementary office staff and oversee communication of events and information to parents via newsletter, website, and bulletin board.
  • Assume the Presidency if the President is unable to continue to fulfill the duties of the President.
  • The following year, the President Elect will assume the office of President.

Secretary: The Secretary shall:

  • Have overall responsibility for all record keeping.
  • Keep one of two official copies of the By-Laws.
  • Keep available for inspection copies of the records required by the Oregon Nonprofit Corporation Act.
  • Perform, or cause to be performed, the following duties:
    • Officially record the minutes of all proceedings of the Board of Directors and general membership meetings.
    • Make the minutes available for all members to view.
    • Give proper notice of meetings as may be required.
    • Collate information and write the parent newsletter, the BULLetin (PSO Blast).
  • Any other duties as may be prescribed by the Board of Directors.

Treasurer: The Treasurer shall:

  • Have overall responsibility for all corporate funds.
  • Have authorization to open an account in the same name of the corporation and deposit all funds therein. The corporation’s account shall require two signatures of Executive Board members for disbursements.
  • Perform, or cause to be performed, the following duties:
    • Keeping full and accurate accounts of all financial records of the corporation, including in detail all receipts and disbursements.
    • The deposit of all moneys and other valuable effects in the name and to the credit of the corporation in such depositories as may be designated by the Board of Directors.
    • Disburse funds when appropriate to do so.
    • Reports the financial condition of the corporation at each general meeting.
    • Makes available a copy of the budget for all members to review.
    • Prepares and files annual taxes and corporation fees by the deadline.
    • Any other duties as may be prescribed by the Board of Directors.

Volunteer Coordinator: The Volunteer Coordinator shall:

  • Assist with Back to School Night recruitment of volunteers.
  • Distribute Want Ads and keep track of volunteers.
  • Communicate with Chairs the volunteers signed up to help with their activity.
  • Update volunteer computer program with new families and email addresses.
  • Send out email communications regarding upcoming events and volunteers needed, as well as distribution of the BULLetin (PSO Blast).
  • Ensure the volunteer computer is updated with current pop-ups and billboards for upcoming events.
  • Send volunteer hours report to the district and send a copy to the Board.
  • Any other duties as may be prescribed by the Board of Directors.

At-Large Member:  The At-Large Member shall:

  • Represent the voice of the PSO membership.
  • Plan and coordinate staff appreciation events throughout the year, including Classified Staff Appreciation Week and Teacher Appreciation Week.
  • Coordinate volunteers for all staff appreciation events.
  • Assist with any other duties as may be prescribed by the Board of Directors.

Communications Coordinator:  The Communications Coordinator shall:

  • Assist the Secretary with collecting information and writing the weekly parent newsletter, the BULLetin (PSO Blast).  Manage all PSO social media accounts; working with committee chairs to promote events and activities.  
  • Manage and keep current PSO website.
  • Work with the Principal and school Secretary to coordinate the reader board messages on behalf of the PSO.
